Issues in Iming

IMING serves as a general contractor and project management assistant on a variety of projects, including commercial and industrial buildings, alternative energy, and road infrastructure.

Before Outmind, IMING faced several structural challenges: 
  • Documents stored on file servers and SharePoint could not be found without knowing their title or exact location —a problem cited by nearly all respondents to the internal survey.
  • According to an internal survey, 59% of employees had to ask their colleagues for help finding information, leading to a reliance on experts and a collective waste of time.
  • Reviewing the bidding documents —which could contain 10 to 15 technical documents—took between 20 minutes and 1 hour per set, for teams handling up to 40 calls for bids per week.
  • Without capitalizing on past projects, business knowledge was lost when employees left, due to a lack of structured access to historical data.
  • The need to delegate time-consuming tasks to generative AI in a secure environment had not yet been adequately addressed.

This is a decisive advantage, particularly when employees start new roles: they can retrieve all client information in seconds before a meeting, whereas previously this required multiple internal exchanges.

Outmind also plays a key role in improving the quality of responses to requests for proposals. The business assistant “Dave,” conceived and brought to life by the teams themselves, compares the technical proposals being drafted with past responses—not to replace the engineers, but to raise the standard of each response.

In the field as well, the value is immediate: during a legal expert assessment, an employee was able to access response elements in real time from the document database to counter an opposing argument on the spot.

Finally, Outmind provides tailored, human-centered support to ensure sustainable adoption. With a dedicated Customer Success Manager, IMING benefits from personalized support that adapts to changing usage patterns. Workshops to assist in the creation of business assistants were conducted directly with the teams, enabling them to design assistants precisely tailored to their processes. Beyond the initial rollout, Outmind supported the skill development of internal champions, who are now capable of maintaining, improving, and creating new assistants independently, thereby ensuring a solution that refines and enriches itself over time.
